Firstly, you need to choose software that can handle your current number of employees, and allow some room for future expansion.  If you expect your company to grow, there's no point having a program that will run out of capacity almost as soon as you add the first extra employee.  Always think ahead, so that you minimize the number of times you'll need to upgrade your software program.

Secondly, look for software that can perform multiple functions.  Yes, time clock software is designed to track the hours your employees work, and that's fine.  But it's great if it can also link straight into your payroll system, particularly when it comes to tax time.  You need to be able to add or delete employees quickly and easily.  Talk to the salespeople who are familiar with different types of time clock software, so that you can get a better idea of which one will do all the tasks you need it to do.

The final step, once you've purchased the new software, is to make sure you train your current payroll employees to use it properly.  So make sure they know exactly how to clock in and out, to minimize the chance of mistakes being made.  You also need to train the staff that will be implementing the software in payroll to use it correctly, and also how to use all the more advanced functions as well.

If possible, choose a software package that provides support during the implementation phase at least, and preferably for longer.  If the software company doesn’t offer any sort of training or support, you may be better off buying another package.  Having time clock software that works smoothly and efficiently will do a lot to keep your employees and the payroll department happy.  Accuracy saves time and money, so the sooner you can get the new software running smoothly, the better it will be for everyone.
